Cottage Stay

Policies For our guests staying at the Inn or the Dancing Bear Cottage:

Advance Deposit – In order to hold your reservation, we require a deposit of the first night stay for each room you reserve.  The remaining balance will be due upon check out.

Cancellations –

• Notice of 10 days or greater – refund of the advance deposit less a $25 processing fee per room reserved.
• Notice of less than 10 days – you are responsible for all charges as originally reserved unless we are able to re-book the rooms at the same rate.  In the event the rooms are re-booked, the $25 processing fee per room will still apply.
• If you reserve 4 or more rooms, the required cancellation notice is 20 days prior to the check in date or the entire deposit is forfeited.

Rescheduling or Changing an Existing Reservation – Notice of less than 10 days – you will be charged a $25 processing fee per room reserved. 

Refunds - There are no refunds for early departures (fewer days than reserved), delayed arrival or reschedules due to inclement weather.

No Show Policy - The total amount of the reservation will be charged to the credit card we have on file.

Occupancy – rates are for single or double occupancy. No more than two people per room with the exception of the Cynthiana Suite which can accommodate three.

Check In/Out - Check-in is between 3-7 pm, check-out is by11 am.  With prior approval, a 1 pm early check-in is possible for $50 and a 1 pm late check out for an additional $50. If you select the early check-in option and do not arrive early, you will still be charged the fee as a person will have been scheduled to be here for you.

Children Policy – No guests under the age of 16 are permitted.

Smoking/Vaping Policy - Smoking and vaping are permitted outside on the grounds only in designated areas but please do not litter.  No smoking or vaping in the pool area.  Smoking is not permitted anywhere inside the cottage including the screened porches. Smoking in the cottage or screened porch will result in an automatic cleaning charge of $250 to your credit card on file.

Pet Policy - Pets are not permitted anywhere on the property.  Service animals are allowed but not emotional support animals.  Let us know at the time of booking so that we can send you our ADA Service Animal Agreement form for you to complete.

Alcohol Consumption – due to our beer and wine retail license, our local code prohibits bringing outside alcohol into our public spaces (this includes the pool area).  This policy is strictly enforced.    Our wine bar, the Copper Penny Pub, offers local and out of area wines, beer, soda and bottled waters for purchase. If wishing to take them outside on our grounds or pool area, we will supply plastic wine glasses for your use.

Damages – Breakage or damage to the premises and/or contents as well as cleaning costs other than those normally incurred in connection with the occupancy of the premises will be billed to the credit card on record for the cost of the replacement or the labor to repair.  There is a $30 fee if your room key is not returned to us upon check out or if the key is lost.  No candles in the rooms under any circumstances!

Visitors and Maximum Occupancy – Visitors, house parties, bridesmaids lunches, etc., are not allowed without prior approval. The maximum occupancy of two people per room is strictly enforced. Bringing more guests than the maximum will not be tolerated and in the event this should occur, your deposit and rent for the entire length of your reservation period will be forfeited and you will be asked to vacate the property. No outside visitors are allowed past 11pm.

Pool and Outdoor Spa – The pool and outdoor spa close at 11 pm.  You must be a registered guest to use the pool and spa.  You cannot bring your own alcohol in the pool area and coolers are not allowed.  Our cafe menu is available at the pool.

Breakfast - A full breakfast is served daily between 8:30-9:00 am for guests staying at the inn.  Breakfast is not included for guests staying at the Dancing Bear Cottage.  However, subject to availability, breakfast can be requested on Saturday and Sunday mornings for an additional charge

Housekeeping – Housekeeping service is provided daily at the Inn but is not included for the cottage.
